How to create notes and saved searches for a contact in the Luxury Presence Mobile App

How to add internal notes and set up property alert searches for contacts from their profile in the Luxury Presence Mobile App.

Overview

The Notes tab lets you create and manage internal notes about your interactions with a contact. The Searches tab lets you create saved property searches that send listing alerts to the contact. Both are accessible from any contact profile in the Luxury Presence Mobile App.

Notes

How to create a note

1. Open the contact profile.
2. Tap the Notes tab.
3. Tap the Add a note field at the top.
4. Type your note.
5. Tap Submit.

The note saves immediately with your name and timestamp. All notes appear in the timeline below in reverse chronological order.

Formatting options

When creating or editing a note, a formatting toolbar appears above your keyboard:

• Title — larger text at the top of the note
• Body — multi-line text area for note content
• Bold (B), Italics (I), Underline (U) — text formatting
• Link — insert hyperlinks
• Bullet list — create bulleted lists

Viewing notes

Notes display in the Notes tab in reverse chronological order, grouped by date. Each note shows the creator name, timestamp, note title, and a preview of the body.

Tap any note to open the full detail view. Notes load 5 at a time — scroll to the bottom to load more.

How to edit a note

1. Tap the note to open the detail view.
2. Edit the title and body.
3. Tap Save.

An "Edited" indicator appears with a timestamp showing when the note was last modified.

Important: You can only edit your own notes. Notes created by other team members and system-generated notes are read-only.

How to delete a note

Long-press the note or open the detail view, select Delete, and confirm.

Important: You can only delete your own notes.

How to duplicate a note

Note: Duplicate note functionality may not be available on all accounts. If you don't see this option, contact our support team.

Long-press the note or open the detail view and select Duplicate. A copy is created with "Copy of [title]" as the prefix — edit it as needed.

Saved searches

How to create a saved search

1. Open the contact profile.
2. Tap the Searches tab.
3. Tap the + button in the bottom-right corner.

The system validates that the contact has an email address or phone number before opening the search creation screen. If neither is on file, you'll be prompted to add one first.

On the search creation screen, configure:

• Title — name the search (auto-suggests based on the contact's name)
• Map preview — adjust the map to define the search area
• Area in view — toggle to search within the visible map area
• Filters — set criteria including price, beds, baths, square footage, and property type
• Alert frequency — Instant, Daily, Weekly, or Never
• Share with — contact is pre-selected; you can add additional recipients
• Personal note — optional message to send with the search

Tap Save and share when ready. The search appears in the Searches tab immediately and the contact begins receiving alerts based on the frequency you selected.

Viewing saved searches

All saved searches appear in the Searches tab. Each card shows the search title, filter criteria summary, creator (Agent created or Contact created), and creation date.

Tap any search card to view the full criteria, map area, alert frequency, recipients, and personal note.

How to edit a saved search

Tap the search card, select Edit, modify the criteria or settings, and tap Save. Changes apply immediately and future alerts reflect the updated criteria.

How to delete a saved search

Tap the search card, select Delete, and confirm. The search is removed and the contact will no longer receive alerts for it.

Shortcut from the Messages tab

If the contact has AI Lead Nurture active, a Set up a search button appears in the Messages tab header. This opens the same search creation screen as the + button in the Searches tab.

FAQs

Can I edit another team member's notes?

No. You can only edit or delete your own notes. Notes from other team members and system-generated notes are read-only.

Does a contact need an email address to have a saved search?

The system requires the contact to have either an email address or a phone number before a saved search can be created. If neither is on file, you'll be prompted to add one before the search creation screen opens.

What's the difference between creating a saved search here vs. in the web platform?

The mobile app includes a few additional fields not available on the web — a Personal note to send with the search and a Share with field to add recipients beyond the contact. Core functionality (criteria, alert frequency) works the same way on both.

If I delete a saved search, will the contact stop receiving alerts immediately?

Yes. Deleting a saved search removes it immediately and stops all future listing alerts for that search.
