How to add a private or off-market property listing to your site and restrict access with a password.

Overview

A private listing is a property you want to feature on your website without making the full details publicly accessible. You can add the listing the same way you would any property — either by submitting a request to the Luxury Presence support team or adding it yourself — and then password protect it so only visitors with the password can view the details.

How to add a private listing

You can add a private property listing to your Presence® website in two ways: submit a request to the support team, or add it yourself directly in the platform. Add the password after the listing is created — both options are covered below.

Note: If you have MLS sync enabled, listings that import automatically from your MLS feed can also be password-protected after they appear in your Properties list.

Option 1: Have our team add the listing for you

The Luxury Presence support team can upload your property listing on your behalf. This service is available to all customers.

Note: If you're requesting a bulk import of multiple properties at once, a fee may apply. Contact support for details before submitting a large batch.

Have the following ready when you reach out:

• Full property address
• Listing price and status (Active, Pending, etc.)
• Property specs (bedrooms, bathrooms, square footage, property type)
• Property description
• Photos
• Any additional documents (floor plans, brochures, disclosures)

Our team will handle the setup and confirm once your listing is live. You can then add the password yourself following the steps in the next section, or ask the team to do it for you.

Option 2: Add the listing yourself

Step 1: Navigate to Properties

1. Navigate to the Presence® Platform.
2. In the left-hand menu, click Content to expand the submenu, then select Properties.
3. Click Add New in the top-right corner.

Step 2: Enter property details

Fill in the property information. The form includes standard fields similar to what you'd see on MLS or other listing sites.

Basic information:

• Property name — Internal reference name (e.g., "123 Main St - Downtown Loft")
• Address — Full street address, city, state, ZIP code, or you can select Make Address Private
• Price — Listing price
• Status — Select Pocket Listing from the Property Status drop-down menu.

Property specifications:

• Bedrooms
• Bathrooms
• Square footage (living space)
• Lot size
• Year built
• Garage spaces
• Property type (Single Family, Condo, Townhouse, etc.)

Additional details:

• Description — Highlight key features and neighborhood benefits
• Features & amenities — Pool, hardwood floors, updated kitchen, etc.
• Neighborhood — Neighborhood or community name
• Agent information — Assigned listing agent
• Open house details — Date and time for scheduled open houses
• Password — Enter a password to restrict access to this listing. Click the eye icon to reveal what you've typed.

Documents & files:

• PDFs (floor plans, brochures, disclosures, HOA documents)
• Virtual tour links
• Supplemental documents

Tip: Fill in as much detail as possible. Complete listings perform better in search and provide more value to potential buyers.

Step 3: Upload images

1. While editing your property, click Upload Images on the right side of the screen to open the Media Gallery.
2. To upload new images, click the Upload Files tab, then drag photos into the upload area or click Select Files to Upload to browse your computer. Wait for all images to finish uploading.
3. To use previously uploaded images, click the My Images tab and browse your library.
4. Click each image you want to use — a checkmark will appear on selected images.
5. Click Assign Selected at the bottom of the Media Gallery.
6. Click the X in the top-right corner to close the Media Gallery.

Recommended image specs:

• Dimensions — 1920 x 1200px
• Format — JPEG (85–90% quality recommended)
• File size — Under 500 KB per image

Step 4: Save the listing

Click Save in the top-right corner.

Important: Clicking Save publishes the listing to your website immediately. There is no separate draft or publish step — the listing goes live as soon as you save. 

Once saved, the listing will display a placeholder image on your website instead of the actual listing photos. Visitors who click the listing will be prompted to enter the password or submit a contact form to request access.

What happens when a visitor requests access

If a visitor submits the contact form to request access instead of entering the password, a lead is created in your Presence® CRM and you receive an email notification that includes the property address. You can then contact the lead and share the password privately.

Does a password-protected listing still appear in search results on my website?

Yes — a password-protected listing still appears in search results and property grids on your website, but the content is hidden behind the password prompt. Visitors see a placeholder image instead of the actual listing photos.

Can I use password protection for pocket listings or off-market properties?

Yes. Password-protected listings are ideal for exclusive or off-market properties where you want to control who can access the full details.

Is there a limit to how many listings I can password protect?

There is no limit — you can add a password to any property listing individually.

Can I remove the password later?

Yes. To remove password protection, navigate back to the property in Content > Properties, clear the Password field, and click Save. The listing will become fully public immediately.
