A user in the Presence® Platform is a licensed agent with their own login credentials. Your plan's seat limit reflects the number of licensed agents who have individual access to the platform — it is not a headcount of everyone associated with your business.

Understanding who counts as a user helps you choose the right plan and avoid confusion when setting up access for a team.

Who counts as a user

Users are licensed agents who log in with their own credentials. The following roles do not count as users unless they are also licensed agents:

• Transaction coordinators
• Administrative staff
• Marketing coordinators or assistants
• Clients or others viewing the agent's website

What a user seat includes

Each licensed agent (Member role) gets access to the following:

• Agent profile page with MLS listing sync
• Ability to edit their own bio, listings, and content
• AI CRM features, including Tasks and AI-suggested actions for assigned contacts
• Access to the Presence® Platform on desktop and the Luxury Presence Mobile App
• Listing alerts
• One-click property websites
• Presentations and CMAs
• Agent subdomains (Scale, All-In, and Mid-Market plans)

Note: Users with a Member role do not have access to AI Blogs, AI SEO, AI Social, or in-app Ads. These features are available to Admin users only.

AI features are account-level, not per seat

The platform's AI features — including the Daily Action Plan, AI lead nurture, and contact scoring — run at the account level and benefit every agent on the team. Adding more users does not add separate AI engines or reduce the intelligence available to existing users. Every licensed agent on the account benefits from the same AI layer.

Tip: When counting seats for your team, only include licensed agents who need their own login. Transaction coordinators, marketing staff, and admins who are not licensed agents do not count toward your seat total.

FAQs

Does my transaction coordinator need a user seat?

Only if they are a licensed agent. TCs and other administrative staff who are not licensed agents do not require a user seat and do not count toward your plan's limit.

What's the difference between a user and an agent profile?

A user account (in Settings → Users) is the login credential and permission set that controls what someone can do in the platform. An agent profile (in Content → Agents) is the public-facing page that appears on your website. You can have agent profiles on your site for agents who do not have login access — they do not need a user seat.

What's the difference between a user and a contact?

Users are licensed agents who log in to the Presence® Platform to manage their business. Contacts are the leads, clients, and prospects stored in AI CRM — they do not have platform access and do not count toward your seat limit.

Do all users get the same AI features?

AI features run at the account level and are available to every user on the account. Adding more seats does not change the AI features available — every licensed agent on the team benefits from the same intelligence.

What happens if I need more seats than my plan includes?
