Why haven't I gotten any Smart Actions after importing my contacts?

What happens between a completed contact import and Smart Actions appearing, and when to expect them.

Overview

A completed contact import does not mean Smart Actions are done processing. After your contacts finish importing, AI CRM continues scanning your email history in the background for each newly imported contact, and Smart Actions surface as that scan finishes. This can take hours after your import shows as complete — there's no fixed timeline, since it depends on how much email history there is to scan. This is expected behavior, not a stuck import.

Why Smart Actions take longer than the import itself

Importing your contacts and generating Smart Actions for them are two separate stages:

  1. Contact import — Your contacts are created in AI CRM. This is the stage that shows as "complete."
  2. Email history scan — AI CRM scans your connected email's conversation history in the background for each imported contact, looking for the signals — contact behavior, email conversations, life events, and engagement patterns — that Smart Actions are built from.
  3. Smart Actions generation — Smart Actions surface for a contact once the scan of their email history has caught up.

The import finishing only confirms step 1. Steps 2 and 3 continue running afterward, and for a large contact import, that background scan can take meaningfully longer than the import itself.

How long this should take

There's no fixed SLA for how long the background email scan takes after an import — it depends on how many contacts were imported and how much email history there is to scan for each one. As a general guideline, wait 24–48 hours after your import shows as complete before treating a lack of Smart Actions as a problem. It's common for Smart Actions to still be generating well within that window, even though the import itself finished much earlier.

When this might actually be a stuck import

A background email scan that's still running looks different from a genuinely stuck import. The distinguishing factor is your import or sync status, not just the absence of Smart Actions:

  • Still processing, not stuck: Your import status shows as complete, and you simply haven't seen Smart Actions yet. This is expected — see the wait times above.
  • Actually stuck: Your dashboard is cycling through statuses like "finding contacts," "scanning email threads," or "syncing account" without ever completing.
