Overview

Saved searches in AI CRM let you save property searches for your clients based on custom criteria. Each saved search monitors the MLS and sends matching listings to your client by email on a schedule you choose — instantly, daily, weekly, monthly, or never. To view and manage saved searches in aggregate across all your contacts, see How to use Auto Emails.

Note: Creating or editing a saved search from a contact's profile includes a Never option, in addition to Instant, Daily, Weekly, and Monthly. The Saved Searches view on the Auto Emails screen offers Instant, Daily, Weekly, or Monthly, but does not include a Never option.

Where to find saved searches

To find a contact's saved searches, start here:

1. Navigate to the Presence® Platform.
2. Click Contacts from the left-hand menu.

The Saved Searches section appears in the right sidebar of a contact's profile. The section header displays Saved Searches (X) showing the total count of active searches, with a + button to add a new one.

Each saved search in the list shows the search name, a criteria summary (e.g., "$5M–$6M · 6+ bd · 5+ ba"), the notification frequency, the status (Active or Paused), and a three-dot menu for actions.

Note: The Saved Searches section only appears on contact profiles that have an email address — saved searches require an email to deliver notifications. If you don't see the section, add an email to the contact's Details section first.

How to create a saved search

To create a saved search from a contact's profile in AI CRM:

1. From the contact's profile, click the + button or Create a search in the Saved Searches section header.
2. From the pop-up window, select your website. You'll be taken to Listings → MLS Search.

Step 1: Set search filters

Use the search tools to define your client's property criteria. Available filters include:

• Location search with autocomplete for cities, neighborhoods, and ZIP codes
• Quick filters for price range, beds, baths, and property types
• Map view with a drawing tool for custom geographic boundaries
• Advanced filters for square footage, lot size, features, and more

Step 2: Configure notification settings

After clicking Save, a pop-up window appears where you can configure how the search will be named and how notifications will be delivered:

• Search name (required) — A descriptive label that appears in emails to your client, e.g., "Family Homes in Brentwood 4+ Bedrooms"
• Send emails as — Select the agent you want to appear as the sender from the list
• Email subject line — Enter a custom subject line for notification emails
• Alert frequency (required) — How often your client receives notifications: Instant, Daily, Weekly, Monthly, or Never

Frequency guidance:

• Instant — Best for highly motivated buyers in competitive markets
• Daily — Recommended for most clients; timely without being overwhelming
• Weekly — Good for clients with flexible timelines
• Monthly — For early-stage clients tracking long-term trends
• Never — Creates the search without sending any notifications

Click Share search when you're done.

Step 3: Choose whether to notify your client

After clicking Share search, a pop-up will ask whether you'd like to notify your client about the saved search. Select one of the following:

• Skip — Creates the search silently without notifying your client
• Notify — Sends an immediate email to your client introducing the search

After confirming, you'll return to the contact profile where the new search appears in the Saved Searches section.

How to edit a saved search

To edit a saved search, locate it in the Saved Searches section of the contact's right sidebar. You can click directly on the search to open it in the map view, or hover over it and click the three-dot menu to access the following options:

• Edit search settings — Update the search name, email sender, subject line, or alert frequency
• Edit search filters — Modify the property criteria, including price, location, beds, baths, and more
• Delete — Permanently remove the saved search

1. From the contact's profile, locate the saved search in the right sidebar.
2. Hover over the saved search and click the three-dot menu.
3. Select Edit search settings.
4. Update the search name, email sender, subject line, or alert frequency.
5. Click Save.

1. From the contact's profile, locate the saved search in the right sidebar.
2. Hover over the saved search and click the three-dot menu.
3. Select Edit search filters.
4. Update the property criteria as needed.
5. Click Save.

How to view listings for a saved search

To see which listings currently match a saved search:

1. From the contact's profile, locate the saved search in the right sidebar.
2. Click the three-dot menu on the saved search.
3. Select View search. Listings → MLS Search will open with that search's filters applied.

How to delete a saved search

To permanently remove a saved search from a contact's profile:

1. Navigate to the Presence® Platform.
2. Click Contacts from the left-hand menu.
3. Click on the contact's profile, locate the saved search in the right sidebar.
4. Click the three-dot menu on the saved search.
5. Select Delete.
6. Confirm the deletion in the dialog.

Important: Deletion is permanent and cannot be undone. Your client will stop receiving notifications for that search immediately.

FAQs

Why don't I see the Saved Searches section on a contact profile?

The Saved Searches section may not appear for two reasons. First, the contact may not have an email address on file — saved searches require an email to deliver notifications, and the section only displays once an email is added. Add an email in the contact's Details section and the Saved Searches section will appear automatically. Second, the new contact details UI may not be enabled on your account. If you've added an email and the section still isn't visible, reach out to our support team:

Can I create a saved search for a contact without an email address?

No — saved searches cannot be created for contacts without an email address because notifications are delivered by email. Add an email to the contact's profile in the Details section first. The Saved Searches section will appear automatically once an email is on file.

Can I edit the search filters after creating a saved search?

Yes — you can edit search filters at any time using the Edit search filters option in the three-dot menu on the saved search. To change settings like the search name, sender, subject line, or alert frequency, use Edit search settings instead.

What's the difference between Skip and Notify when creating a search?

When you finish creating a saved search, you'll be asked whether to notify your client. Selecting Skip creates the search silently without sending an email. Selecting Notify sends an immediate introduction email to your client. Either way, future alerts will be sent based on the frequency you configured.

What alert frequency should I use?

The right frequency depends on your client's situation. Instant works best for highly motivated buyers in competitive markets. Daily is recommended for most clients — timely without being overwhelming. Weekly suits clients with flexible timelines, and Monthly is better for early-stage clients tracking long-term trends. Use Never if you want the search to exist on the profile without sending any notifications.

How do I stop notifications without deleting a saved search?

To stop notifications without removing the search, edit the alert frequency and set it to Never. This keeps the search active on the contact's profile while pausing all emails until you update the frequency again.

Why doesn't the Auto Emails screen show a Never option for saved searches?

The Saved Searches view on the Auto Emails screen offers Instant, Daily, Weekly, or Monthly, but not Never.
