What kind of email notifications Smart Actions in AI CRM actually send — and how to stay on top of your follow-ups.

Overview

Smart Actions send a weekly email digest summarizing your outstanding actions, but there's no real-time alert the moment a new action is created. To see your most current list of actions at any time, log in to the Presence® Platform and check the Suggested Actions section on the Dashboard or the full Actions page. What triggers email alerts

• Smart Actions weekly digest — A summary email sent weekly with your outstanding actions and a link to review them. This is not sent in real time when a new action is created — only as a periodic summary.
• Lead notifications — When someone submits a contact form on your website, an email is sent to all addresses listed in your Lead Alert Emails settings.
• Lead routing assignments — If a lead is assigned to you via a routing rule, you'll receive an email notification at the time of assignment.
• Listing alert emails — If you have set up listing alerts for a contact, those are sent by email on your configured schedule.

Note: To manage the email address(es) that receive lead notifications, go to Settings → My Profile → Lead Alert Emails.

How to stay on top of your Smart Actions

Since Smart Actions doesn't send a real-time alert for each new action, here are the best ways to stay current:

• Check the Suggested Actions section on the Dashboard daily — Your top actions are surfaced on your Presence® Platform homepage for quick access. Make it part of your morning routine to log in and review them.
• Visit the full Actions page — Click Actions from the left-hand navigation to see all pending actions, organized into Opportunities and Follow-ups on the Review tab.

Tip: New Smart Actions are generated continuously as contact activity, life events, and AI conversations come in. Checking the Actions page once a day — in addition to the weekly email digest — is the best way to catch time-sensitive follow-ups before they become stale.

How to access your Smart Actions

1. Navigate to the Presence® Platform.
2. Click Actions from the left-hand navigation menu.
3. Review actions in the Review tab, organized into Opportunities and Follow-ups.
4. Click any action card to see the full context, suggested next step, and contact details.

Note: The Suggested Actions section on your Presence® Platform Dashboard also displays your top actions so you can take action without navigating away from the homepage.

Opportunities — such as those triggered by life events or promised follow-ups — are typically the most time-sensitive, so act on those first.

Can I update which email receives my lead notifications?

Yes, to update your lead alert email addresses, navigate to the Presence® Platform, click your name or initials in the bottom-left corner, select Settings, then update the emails listed under Lead Alert Emails. Changes take effect immediately for future lead submissions.
