How to create and manage saved searches for a contact in Presence® CRM

How to set up automated property alerts for clients directly from their contact profile.

Overview

The Saved Searches section in a contact profile lets you create automated property alerts with custom search criteria and notification frequency. Each search sends matching listings to your client by email on the schedule you choose.

Note: The Saved Searches section only appears on contact profiles that have an email address — searches require an email to send alerts. If you don't see the section, add an email address to the contact's profile first.

The Saved Searches section appears if the new contact details UI is enabled on your account. If you don't see it, contact our support team.

Where to find Saved Searches

The Saved Searches section appears in the right sidebar of a contact profile. The section header shows "Saved Searches (X)" with the count of active searches and a + button to create a new one.

Each saved search shows the search name, criteria summary (e.g., "$5M–$6M · 6+ bd · 5+ ba"), alert frequency, status (Active or Paused), and a three-dot menu for actions.

Clicking a saved search opens the MLS Search page with that search's filters applied so you can see current matching properties.

How to create a new saved search

Click the + button in the Saved Searches section header. You'll be taken to the MLS Search page in Agent Created Saved Search mode.

Step 1: Set search filters

Use the MLS Search tools to define your client's criteria:

• Location search with autocomplete for cities, neighborhoods, and ZIP codes
• Quick filters for price range, beds, baths, and property types
• Map view with a drawing tool for custom geographic boundaries
• Advanced filters for square footage, lot size, features, and more

Live listing results update as you configure filters. Click Next when ready, or Cancel to return to the contact profile.

Important: Search filters cannot be edited after the search is created. If the criteria need to change, you'll need to create a new search. Set filters carefully before proceeding.

Step 2: Configure alert settings

Frequency guidance:

• Instant — Best for highly motivated buyers in competitive markets
• Daily — Recommended for most clients; timely without overwhelming
• Weekly — Good for clients with flexible timelines
• Monthly — For early-stage clients tracking long-term trends
• Never — Creates the search without sending notifications

Click Save to create the search, or Back to return to filters (all settings are preserved).

Step 3: Choose whether to notify your client

After saving, choose how to introduce the search:

• Don't notify — Creates the search silently; alerts begin with the next matching property based on the frequency setting
• Notify [Client Name] — Creates the search and sends an immediate introduction email

Choose Don't notify if you want to wait for more inventory, or Notify to let your client know their search is active.

After confirming, you'll return to the contact profile where the new search appears in the Saved Searches section.

How to edit a saved search

1. Click the three-dot menu on the saved search.
2. Select Edit settings.
3. Update the search name, email sender, alert frequency, or subject line.
4. Click Save.

Important: You cannot change the search filters (price, beds, location, etc.) from the Edit Settings dialog. If the criteria need to change, delete the existing search and create a new one with the updated filters.

How to view a saved search

Click the three-dot menu on the saved search and select View search. This opens the MLS Search page with the search's filters applied so you can see current matching properties and check for new inventory.

How to pause and resume alerts

To pause: Click the three-dot menu → Pause alerts. Notifications stop but the search remains active. Use this when a client is on vacation or taking a break from their search.

To resume: Click the three-dot menu → Resume alerts → select a new frequency. Alerts restart immediately.

How to delete a saved search

1. Click the three-dot menu on the saved search.
2. Select Delete.
3. Confirm the deletion in the dialog.

Deletion is permanent and cannot be undone. Your client will no longer receive alerts for that search.

FAQs

Why don't I see the Saved Searches section on a contact profile?

Two possible causes: the contact may not have an email address (add one in the Details section and the Saved Searches section will appear), or the new contact details UI may not be enabled on your account. Contact our support team if you've added an email and the section still isn't visible:

Can I edit the search filters after creating a saved search?

No. Search filters (price, location, beds, baths, etc.) cannot be changed after the search is created. To use different criteria, delete the existing search and create a new one with the updated filters.

What happens to a search when I pause alerts?

Pausing alerts sets the notification frequency to Never and stops emails, but the search stays active in the contact's profile. Your client won't receive notifications until you resume alerts and choose a new frequency.

What's the difference between "Don't notify" and "Never" frequency?

"Don't notify" is a one-time choice at the moment of creation — the search is created silently and will send alerts based on the frequency you set going forward. "Never" is an ongoing frequency setting that permanently stops notifications until you change it (or use Pause/Resume).

Can I create a saved search for a contact without an email address?

No. Saved searches require an email address to send alerts. Add an email to the contact's profile first — the Saved Searches section will appear once an email is on file.
