How to archive and unarchive contacts

Move inactive contacts out of your active list without deleting them, and restore them at any time with no data loss.

Overview

Archiving lets you remove contacts from your active list without deleting them. Archived contacts retain all their history, activity, and data — they can be unarchived at any time. Archiving is the recommended way to keep your contacts list clean and your contact allocation within your plan's limit.

Note: Archiving and unarchiving require an Admin or Member role. Guest users cannot perform these actions.

How to archive contacts

You can archive contacts in bulk on desktop or on the Luxury Presence Mobile App.

On desktop

1. Navigate to the Presence® Platform.
2. Click Contacts from the left-hand menu.
3. Click the checkbox next to individual contacts to select them, or click the checkbox in the table header to select all 20 contacts visible on the current page.
4. To select contacts beyond the current page, select all on the current page first — then click Select all contacts that match your current filters.
5. Click Archive.
6. Confirm the action.

Archived contacts move to the Archived tab. They retain all historical data and remain searchable.

On the Luxury Presence Mobile App

1. Tap the Edit button (pencil icon) in the top-right corner to enter selection mode.
2. Tap each contact you want to archive — a checkmark appears on each selected contact.
3. Tap Archive in the action bar at the bottom of the screen.
4. Confirm the action.

Archived contacts are removed from your active contacts list and are accessible in the Archived view.

How to unarchive contacts

On desktop

Bulk unarchive is not currently available from the contacts table. To unarchive a contact, open their individual profile, click the three-dot menu, and select Unarchive. The contact is restored to your active list immediately.

On the Luxury Presence Mobile App

1. Switch to the Archived view using the main filter.
2. Tap the Edit button (pencil icon) in the top-right corner to enter selection mode.
3. Tap the contacts you want to unarchive.
4. Tap Unarchive in the action bar.
5. Confirm the action.

Selected contacts return to your active contacts list immediately.

FAQs

Will archiving a contact delete their data?

Archiving a contact does not delete any data. Archived contacts retain all their history, activity, notes, and contact details. They are simply moved out of your active contacts list and are accessible at any time in the Archived view.

Can I archive multiple contacts at once?

You can archive contacts in bulk on both desktop and the Luxury Presence Mobile App. On desktop, use the checkboxes in the contacts table to select multiple contacts, then click Archive. On mobile, enter selection mode by tapping Edit, select your contacts, and tap Archive in the action bar.

Can I bulk unarchive contacts on desktop?

Bulk unarchive is not currently available from the contacts table on desktop. To unarchive a contact, open their individual profile, click the three-dot menu, and select Unarchive. On the Luxury Presence Mobile App, bulk unarchive is available from the Archived view.

Why should I archive contacts instead of deleting them?

Archiving is reversible — deleted contacts cannot be recovered. Archiving also removes contacts from your active allocation without losing any data, making it the safest way to keep your contacts list organized.
