How to disconnect Outlook from AI CRM and stop contact imports

Stop your Outlook account from continuously adding contacts to AI CRM by disconnecting it through your Presence® Platform settings.

Overview

When you connect an Outlook (Microsoft) account to AI CRM, it continuously syncs contacts via webhook — importing anyone found in your sent folder over the last 24 months, with new contacts added on an ongoing basis. Disconnecting your Outlook account removes the active connection and prevents any further contacts from being imported.

Important: Disconnecting your Outlook account does not delete contacts that have already been imported into AI CRM. Only the active connection is removed — your existing data is not affected.

How to disconnect Outlook from AI CRM

  1. Navigate to the Presence® Platform.
  2. Click your name or initials in the bottom left-hand corner of the screen.
  3. Select Settings from the menu.
  4. Click Connected Accounts in the left-hand menu.
  5. Select Email & Calendar.
  6. Locate your connected Outlook account and click Disconnect.
  7. Confirm the disconnection when prompted.

Once disconnected, AI CRM will stop importing contacts from your Outlook account.

Will disconnecting Outlook delete the contacts already in my AI CRM?

Disconnecting your Outlook account will not delete any contacts already in your AI CRM. Contacts imported before disconnecting will remain — only the active sync connection is removed, and your existing data is unaffected.

If you want to remove contacts that came in through email sync, go to the Contacts page, filter by Capture Source: Email Import, and bulk archive them. For large-scale removals, reach out to our support team for help.

How does the Outlook contact sync work?

When you connect an Outlook account, AI CRM syncs contacts continuously via webhook. It imports anyone found in your sent folder from the last 24 months and continues adding new contacts as your email activity grows. The sync is ongoing — not a one-time import — for as long as your Outlook account remains connected.

Why do new contacts keep appearing after I connected Outlook?

New contacts continue to appear because the Outlook sync is ongoing, not a one-time import. AI CRM continuously adds contacts found in your sent folder as your email activity grows. To stop new contacts from being added, disconnect your Outlook account by following the steps above.

Can I sync my email without importing new contacts?

Import controls are coming soon and will give you the option to sync your email activity without importing new contacts into AI CRM. In the meantime, disconnecting your Outlook account is the best way to prevent contact imports.

Can I reconnect my Outlook account later?

Yes, you can reconnect your Outlook account at any time. Go to Settings → Connected Accounts → Email & Calendar and follow the prompts to connect again. Reconnecting will resume syncing contacts from your Outlook account.
