How to edit your email sync settings and contact import preferences in AI CRM

Update your sync mode or adjust which contact types get imported from your email at any time from Connected Accounts.

Important: This feature is only available on desktop. It is not accessible through the Luxury Presence Mobile App.

Overview

After connecting your email to AI CRM, you can update your sync preferences at any time. You can switch between importing contacts automatically and syncing emails only, and you can control exactly which contact types — Leads, Clients, Sphere, Agents, Vendors, and Other — get created from your inbox.

Note: This feature is available on all plans — Launch, Brand, Scale, and All In. Admin and Member users can edit email sync settings. Guest users have view-only access.

What you can change

  • Switch sync modes — Toggle between Sync emails and import contacts and Sync emails only
  • Add or remove contact types — Control which types of contacts get automatically created from your inbox
  • Stop all contact creation — Switch to Sync emails only to prevent any new contacts from being added from your inbox

How to edit your email sync settings

  1. Navigate to the Presence® Platform.
  2. Click your name or initials in the bottom left-hand corner of the screen.
  3. Select Settings from the menu.
  4. Click Connected Accounts.
  5. Locate your connected email account and click the three-dots icon.
  6. Select Edit settings.
  7. Choose your sync preference:
    • Sync emails and import contacts — Contacts from your inbox are added to AI CRM automatically
    • Sync emails only — Emails sync to contact profiles, but no new contacts are created from your inbox
  8. If you selected Sync emails and import contacts, check or uncheck the contact types you want imported:
    • Leads — Potential clients
    • Clients — Active and past clients
    • Sphere — Your personal network
    • Agents — Other real estate agents
    • Vendors — Contractors & providers
    • Other — Non-business contacts
  9. Click Save to apply your changes.

Note: Changes apply to new contacts going forward. Contacts already in AI CRM are not affected — no existing contacts will be deleted.

FAQs

Will removing a contact type delete contacts already in AI CRM?

Removing a contact type only stops new contacts of that type from being created from your inbox — it does not delete contacts already in AI CRM. Any contacts that were previously imported will remain exactly as they are.

What happens if I switch to "Sync emails only"?

Switching to Sync emails only stops new contacts from being created from your inbox. Contacts already in AI CRM remain in place and their email activity continues to sync. No existing contacts are deleted.

Can I re-enable contact import after switching to "Sync emails only"?

Yes — you can switch back to Sync emails and import contacts at any time. Navigate to Connected Accounts from your Settings menu, click the three-dots icon next to your connected email, select Edit settings, and choose Sync emails and import contacts.

Does changing my sync settings affect contacts already in AI CRM?

No — changes to your sync settings only affect new contacts going forward. Existing contacts, their history, and their activity are not changed or removed.

Who can edit email sync settings?

Admin and Member users can edit email sync settings. Guest users have view-only access and cannot change sync preferences.

Can I edit my email sync settings from the Luxury Presence Mobile App?

No. Editing your email sync settings and contact import preferences is only available on desktop through the Presence® Platform. It is not accessible through the Luxury Presence Mobile App.
