How to upload, assign, organize, and manage images in the Presence® Media Gallery.

Overview

The Media Gallery is your central hub for all images on your Presence® website. You can upload your own photos, browse curated images from Luxury Presence, search Unsplash stock photos, and assign images to pages, agent profiles, properties, and blog posts — all from one location.

Important: The Media Gallery does not resize or compress images. Always optimize images before uploading. See [Recommended image specifications for your Presence® website] for dimensions and file size targets.

Note: You cannot edit images (crop, resize, rotate) inside the Media Gallery. Use an external tool like Canva, Photoshop, or TinyPNG before uploading.

How to access the Media Gallery

There are three ways to open the Media Gallery depending on what you're trying to do.

From Settings — Use when uploading or organizing images before assigning them anywhere.

  1. Navigate to the Presence® Platform.
  2. Click your name or initials in the bottom left-hand corner.
  3. Select Settings from the menu.
  4. Click Media Gallery.

From the Website Builder — Use when replacing an image on a specific page.

  1. Navigate to the Presence® Platform.
  2. Click Websites from the left-hand menu, then hover over the site you want to edit and select the pen icon.
  3. Click Edit in the top-right corner.
  4. Hover over the image you want to replace and click the pen icon.

From a CMS section — Use when managing images tied to a specific agent, property, or blog post.

  1. Navigate to the Presence® Platform.
  2. Click Content from the left-hand menu and select the relevant section (Agents, Properties, Blog Posts, etc.).
  3. Open the entry and click on an image field.

Media Gallery sections

Upload Files — Upload new images from your computer by clicking the upload area or dragging and dropping files.

My Images — Your complete uploaded image library. Use the search bar to find images by filename or alt text keywords.

Assigned — Images currently connected to areas of your site. Use this to find images in active use.

Note: The Assigned section shows which images are in use but does not show where each image is used — it won't tell you which specific page or element an image is assigned to. Use descriptive filenames to make images easier to identify.

Curated Images — Professional real estate and lifestyle imagery handpicked by Luxury Presence. Available on all plans.

Stock Images — Royalty-free photos from Unsplash. Free to use without attribution. Search by keyword to find relevant images.

How to upload images

  1. Open the Media Gallery using any of the three access methods above.
  2. Click Upload Files.
  3. Drag images into the upload area or click to browse and select files from your computer.
  4. Wait for the upload to complete — images will appear in your My Images library.

Supported formats: JPEG, PNG, GIF, SVG, WebP.

Important: The platform does not have a documented maximum file size for uploads, but large files will slow down your website. Follow the file size targets in [Recommended image specifications for your Presence® website] before uploading. Images are not automatically compressed after upload.

How to assign an image to a page or element

  1. Open the Media Gallery from the Website Builder or a CMS section.
  2. Browse My Images, Curated Images, or Stock Images and click the image you want to use. A checkmark will appear on the selected image.
  3. Click Assign Selected at the bottom of the Media Gallery.
  4. Click Save in the page editor to finalize the change.

Tip: You can select multiple images at once for elements that support multiple images, like image galleries.

How to add alt text to an image

Alt text describes images for screen readers and search engines — it improves both accessibility and SEO.

  1. Open the Media Gallery and go to My Images.
  2. Hover over the image and click the pen icon.
  3. Find the Image Alt-Text field and enter your description.
  4. Save your changes.

Alt text best practices:

  • Be descriptive and concise — under 125 characters
  • Describe what's in the image, not just the subject
  • Include relevant keywords naturally
  • Don't start with "Image of..." or "Picture of..."

Examples:

How to search for images

  1. Open the Media Gallery and click My Images.
  2. Type keywords into the search bar.

Search works with filenames, alt text keywords, and related terms. Use descriptive filenames when uploading — for example, "downtown-seattle-condo-kitchen.jpg" — to make images easier to find later.

How to delete an image

  1. Open the Media Gallery and go to My Images.
  2. Hover over the image and click the three-dots icon.
  3. Click Delete and confirm.

Important: Deleted images cannot be recovered. If the image is currently assigned to pages on your site, those pages may show broken images or placeholder graphics after deletion.

Best practice: Before deleting an assigned image, replace it with a new image first, then delete the old one.

How to use stock images from Unsplash

  1. Open the Media Gallery and click Stock Images.
  2. Enter keywords in the search bar — for example, "modern kitchen" or "luxury home."
  3. Click an image to select it.
  4. Click Assign Selected to use it on your site.

Unsplash images are royalty-free and free to use without attribution.

Can I organize images into folders?

No — the Media Gallery does not support folders. To keep your library organized, use descriptive filenames that include type, location, and purpose (e.g., "property-listing-123-main-st-exterior.jpg"), add detailed alt text with searchable keywords, and delete unused images regularly to keep the library clean.

How to replace an image already on your site

  1. Navigate to the page with the image you want to replace.
  2. Click Edit in the top-right corner.
  3. Hover over the image and click the pen icon.
  4. The Media Gallery will open. Select a new image from My Images, Curated Images, or Stock Images.
  5. Click Assign Selected.
  6. Click Save.

The new image replaces the old one immediately on your live site.

Troubleshooting

Image won't upload

  • Check the file format — supported formats are JPEG, PNG, GIF, SVG, and WebP
  • Check the filename — avoid special characters; use only letters, numbers, hyphens, and underscores
  • Check your internet connection and try again
  • Try refreshing the page or using a different browser

Assigned image isn't appearing on the live site

  1. Confirm you clicked Save in the page editor after assigning the image
  2. Clear your browser cache and reload the page
  3. View the page in an incognito or private browsing window
  4. Check the element settings — some elements may have visibility settings that affect image display
  5. Return to the editor and verify the image shows in the element preview

FAQs

Can I edit images inside the Media Gallery?

No. The Media Gallery does not support cropping, resizing, or rotating. Use an external tool — Canva, Photoshop, TinyPNG, or a free online editor — before uploading.

Does Presence® automatically compress images after upload?

No. Images are stored at the size and quality you upload them. Always compress images before uploading to keep your website fast. See [Recommended image specifications for your Presence® website] for file size targets.

What's the maximum file size I can upload?

The platform's maximum file size for uploads is not currently documented. As a best practice, follow the file size targets in [Recommended image specifications for your Presence® website] — for example, under 500 KB for hero and property images. Can I see which pages an image is being used on?

Not directly. The Assigned section of the Media Gallery shows images that are in active use, but it doesn't show which specific page or element each image is assigned to. Use descriptive filenames to make it easier to identify images before deleting them.

Are Unsplash stock images free to use on my website?

Yes. Unsplash images are royalty-free and can be used without attribution. They work well for blog posts, neighborhood pages, and other supporting content — use your own photos for property listings and agent profiles.

I deleted an image and now I have a broken image on my website — what do I do?

Deleted images cannot be recovered. Navigate to the page with the broken image, click Edit, hover over the broken image placeholder, and assign a replacement image from your Media Gallery. Click Save.
