Do Smart Tasks send email alerts?

Smart Tasks in the Presence® Platform do not send email alerts. Here's what does trigger notifications — and how to stay on top of your follow-ups.

Overview

Smart Tasks do not trigger email or push notifications. To see your current tasks and follow-up opportunities, you need to log in to the Presence® Platform and check the Actions section or the Homepage Actions widget directly.

What does not send email alerts

Smart Tasks — AI-generated follow-up opportunities based on contact activity, life events, and conversations. These appear in the Actions section and the Homepage Actions widget but do not trigger any email or push notification.

What does send email alerts

  • Lead notifications — When someone submits a contact form on your website, an email is sent to all addresses listed in your Lead Alert Emails settings.
  • Lead routing assignments — If a lead is assigned to you via a routing rule, you'll receive an email notification at the time of assignment.
  • Listing alert emails — If you have set up listing alerts for a contact, those are sent by email on your configured schedule.

Note: To manage the email address(es) that receive lead notifications, go to Settings → My Profile → Lead Alert Emails.

How to stay on top of your Smart Tasks

Since Smart Tasks do not send email alerts, here are the best ways to stay current:

  • Check the Homepage Actions widget daily — Your top 3 pending tasks are surfaced on your Presence® Platform homepage for quick access. Make it part of your morning routine to log in and review them.
  • Visit the full Actions page — Click Actions from the left-hand navigation to see all pending tasks sorted by priority (High, Medium, Low).
  • Use the Luxury Presence Mobile App — The Luxury Presence Mobile App keeps your tasks accessible on the go. Check the app store for the latest version.

Tip: New Smart Tasks are generated continuously as contact activity, life events, and AI conversations come in. Checking the Actions page once a day is the best way to catch time-sensitive follow-ups before they become stale.

How to access your Smart Tasks

  1. Navigate to the Presence® Platform.
  2. Click Actions from the left-hand navigation menu.
  3. Review tasks in the To Do tab, organized by High, Medium, and Low priority.
  4. Click any task card to see the full context, suggested next step, and contact details.

Note: The Homepage Actions widget on your Presence® Platform dashboard displays your top 3 pending tasks so you can take action without navigating away from the homepage.

How do I make sure I don't miss important follow-up opportunities?

To avoid missing Smart Task follow-ups, log in to the Presence® Platform daily and check the Actions page or the Homepage Actions widget. High-priority tasks — such as those triggered by life events or promised follow-ups — are surfaced at the top so you can act on the most time-sensitive items first.

Can I update which email receives my lead notifications?

Yes. To update your lead alert email addresses, navigate to the Presence® Platform, click your name or initials in the bottom-left corner, select Settings, then update the emails listed under Lead Alert Emails. Changes take effect immediately for future lead submissions.
