Where to find your Smart Tasks

Smart Tasks are accessible in two places in the Presence® Platform:

Homepage Actions Widget

• Shows your top 3 pending tasks with a badge displaying your total pending task count
• Check off tasks directly from the widget
• Click any task card to open the full Tasks page with that task's details

Full Tasks Page

• Access from the main navigation menu under Actions
• Shows all tasks organized by priority
• Includes three tabs: To Do, Done, and Ignored.

How tasks are created

Smart Tasks are AI-generated based on:

• Conversations between AI and your contacts
• Contact behavior — property views, searches, form submissions, and website activity
• Email conversations — scanned securely in the background when email is connected
• Life events — promotions, moves, new home purchases, and other milestones
• Promises made during AI conversations
• Property interests and saved search criteria

Each task includes context explaining why it was created and a suggested next step for your outreach.

How the CRM detects life events

The CRM uses third-party data enrichment providers that aggregate publicly available information — including property transaction records, professional profile updates, and demographic signals — to identify life events like job changes, relocations, and home purchases. This is layered with email integration data and website activity to surface tasks at the right moment.

Important: Life event data comes from third-party providers using publicly available information — not from your personal social networks or connections.

Priority levels

Tasks are automatically prioritized based on urgency and importance.

High priority — Urgent actions requiring immediate attention:

• Contacts ready for personal follow-up
• Promised follow-ups from AI conversations
• Time-sensitive opportunities
• Recent life events (new job, new home, relocation)

Medium priority — Important actions to handle soon:

• Follow-ups within a few days
• Search setup needs
• Profile updates and engagement opportunities

Low priority — Actions to complete when time permits:

• General check-ins
• Non-urgent follow-ups
• Routine updates

What's on a task card

Each task card displays the contact avatar, task title, contact name, last activity date, priority label, and a checkbox to complete the task directly.

Click any task card to open the detail panel on the right side of the screen. The detail panel shows:

How to complete a task

1. Click the checkbox on the task card.
2. A panel opens saying "Tell us how it went." Every response immediately tunes your future recommendations. You can:
   • Write a note and click Save, or
   • Click Skip this step
3. If you click Skip this step, a "Rate this suggestion" box appears. Thumbs up or thumbs down the task, or select specific comments, then click Submit.
4. The task moves to your Done tab immediately.

How to navigate to a contact from a task

Click the three-dot menu on any task card and select Go to contact. This opens the contact's full profile with their complete history and contact information. Use your browser's back button to return to tasks.

Tips for getting the most from Smart Tasks

• Check tasks daily — New tasks are generated continuously as contact activity and life events come in. There are no push notifications or email alerts, so daily check-ins are the best way to stay current
• Start with the homepage widget — Your top 3 tasks are surfaced there for quick action without navigating to the full page
• Read the detail panel before acting — The context and conversation starter save you from having to research the contact's history separately
• Pay special attention to High priority tasks — These are the most time-sensitive, especially those triggered by life events
• Always provide feedback — Rating tasks as helpful or not helpful directly improves the quality of future suggestions

FAQs

Am I notified when I have a new Smart Task?

No. There are no push notifications or email alerts for new Smart Tasks. You need to log in to the Presence® Platform to see new tasks. Check daily to stay on top of time-sensitive follow-ups.

How often are Smart Tasks updated?

Smart Tasks are generated continuously as new data comes in from contact activity, life events, and conversations. New tasks can appear any time — check daily for the most current view.

Can I see my email conversations in the dashboard?

No. Email sync powers Smart Tasks behind the scenes by securely scanning email content, but full email threads are not displayed in the dashboard. The AI uses email data to generate task suggestions, not to surface the emails themselves.

What does the task context tell me?

Each task explains why it was created, what action is needed, when it matters, what was previously discussed with the contact, and what to verify or check. This context is designed so you can act immediately without researching the contact's full history.

What if I disagree with a task suggestion?

What happens when I have no pending tasks?

When all suggested follow-ups are completed, you'll see a confirmation message letting you know you're caught up. New tasks will appear as contact activity and life events come in.

I don't see Smart Tasks in my account — why?

Smart Tasks is currently in select beta access. If you don't see it, your account may not yet have access. Contact our support team for more information:
