Overview

Leads and Clients are filtered views inside the Contacts tab — not separate databases. Every contact in your AI CRM is assigned a contact type, and these views surface contacts based on that type. Your contacts, their history, and their AI-powered features all stay in one place.

Contact types and what they mean

The AI CRM uses the following contact types to reflect where someone is in your relationship with them:

  • Lead — Someone who has shown interest but hasn't transacted yet. This includes website inquiries, imported prospects, and new contacts where the relationship stage is unclear. Lead is the default type when the system can't determine a more specific classification.
  • Active Client — Someone you're currently doing business with.
  • Past Client — Someone you've previously transacted with.
  • Sphere — Someone in your professional or personal network who isn't a lead or client.

There are also non-relationship contact types — Agent, Vendor, and Other — for contacts who don't fit the categories above.

AI features by contact type

Not all contact types unlock the same AI features:

  • Leads, Active Clients, and Past Clients get the full suite: Lead Score, Smart Tasks, Enrichment, Activity Timeline, Listing Alerts, and AI Lead Nurture.
  • Sphere contacts also receive AI features.
  • Agent, Vendor, and Other contacts do not receive AI features.

Changing a contact's type

You can update a contact's type at any time from their contact detail page. Changing the type updates which filtered view they appear in and may affect which AI features are active for that contact.

What's the difference between the Leads view and the Clients view?

The Leads view shows contacts with a type of "Lead," while the Clients view shows contacts with a type of "Active Client" or "Past Client." Both views are filtered windows into the same contacts database — no contact data is stored separately in each view.

Do Leads and Clients get the same AI features?

Yes — Leads, Active Clients, and Past Clients all receive the same AI features: Lead Score, Smart Tasks, Enrichment, Activity Timeline, Listing Alerts, and AI Lead Nurture.

Can I change a contact from a Lead to a Client?

Yes — you can update any contact's type from their contact detail page at any time. Once updated, the contact will appear in the Clients view instead of the Leads view and will retain all of their existing history and activity.

What is the Sphere contact type?

Sphere contacts are people in your professional or personal network who aren't classified as leads or clients. Sphere contacts receive AI features just like leads and clients do.

What happens to Agent, Vendor, or Other contacts?

Contacts classified as Agent, Vendor, or Other are stored in your database but do not receive AI features like Lead Score, Smart Tasks, or AI Lead Nurture.
