How to sync your email contacts into Presence® CRM and what to expect after connecting.

Overview

Connecting your email to Presence® CRM automatically imports your contacts and categorizes them with a type, source, and score — giving you a complete view of your sphere without manual data entry. Google and Microsoft email accounts are supported.

Important: Email sync is available on all plans. If you don't see the Connect email option, contact our support team.

Important: Email sync is a one-time import. After the initial import completes, Presence® CRM does not continuously sync new emails or contacts automatically. Additional sync options are planned for a future release.

How to connect your email

There are two ways to connect your email:

Option 1 — From the dashboard pop-up

When you first log in, a "Power up your CRM" prompt appears in the middle of your dashboard. Click Connect email to begin.

Option 2 — From the Contacts page

1. Navigate to the Presence® Platform.
2. Click Contacts from the left-hand menu.
3. At the top of the page, you'll see the prompt: "Sync your Google or Outlook account to automatically manage contacts, events, and follow-ups."; click Connect your email in the top-right corner.

From either option:

1. Select your email provider — Google or Microsoft.
2. In the sign-in window, click Continue to proceed to Luxury Presence.
3. Follow the prompts to authorize access to your email account.

Once authorized, Presence® CRM begins importing and categorizing your contacts automatically. You can start using the CRM immediately while the import runs in the background.

What happens after you connect

The system works in the background to:

• Import contacts from your email history
• Assign each contact a Type (Lead, Client, etc.) based on your interactions
• Set a Source showing where the contact came from
• Calculate a Lead Score (if enabled) based on engagement signals
• Read message content to pull actionable context for relationship intelligence

No additional action is required — the import runs automatically once activated.

How long does the import take?

Contacts appear in your list as they're processed — you don't need to wait for the full import to complete before using the CRM.

What permissions does Presence® CRM need?

When you connect your email, Presence® CRM requests permission to:

• Connect to your Gmail or Outlook account
• Sync contacts from your email history
• Read message content to extract relationship intelligence

Privacy protections:

• Presence® CRM does not store raw email text
• Sensitive information is dropped during processing
• No data is used to train AI models
• All client data remains secure and anonymized
• Your email credentials are never stored

What happens if you disconnect your email

You can disconnect your email from Presence® CRM at any time. All previously imported contacts remain in Presence® CRM — they are not deleted when you disconnect. Contact information, notes, activities, and history from the sync are preserved.

Troubleshooting: connection failed

If you encounter an error when connecting your email:

1. Confirm you're using a supported provider — Google or Microsoft
2. Confirm you have admin access to the email account
3. Close the authorization window and click Connect Account again
4. Clear your browser cache and cookies and try again

FAQs

Do I have to connect my email to use Presence® CRM?

No. Email connection is optional — you can start using Presence® CRM without it. However, connecting your email is the fastest way to populate your contact list. If you skip it during setup, you can return to Contacts and click Connect Account at any time.

Does Presence® CRM keep syncing new contacts after the initial import?

No. Email sync is currently a one-time import. After the initial import completes, new emails and contacts are not synced automatically. Additional sync options are planned for a future release.

What email providers are supported?

Google (Gmail) and Microsoft (Outlook) are the supported email providers.

Will my contacts be deleted if I disconnect my email?

No. All previously imported contacts remain in Presence® CRM after you disconnect. Contact information, notes, activities, and history are preserved.

Can Presence® CRM read my emails?

When you connect your email, Presence® CRM reads message content to extract relationship intelligence — such as identifying contacts and interaction patterns. It does not store raw email text, drops sensitive information during processing, and never uses your data to train AI models.
