What do I do if my account has exceeded its contact limit?

Learn how to get your account back within its contact allocation by archiving inactive contacts or adding more capacity.

Overview

If your contact allocation has been exceeded, nothing in your account is switched off. You have two options to resolve it:

  • Archive inactive contacts — Free, takes under five minutes, fully reversible
  • Add a contact block — 500 additional contacts for $50/month, activates immediately

Option 1: Archive inactive contacts

Archiving removes inactive contacts from your active allocation without deleting them. All archived contacts can be restored at any time with zero data loss, so there is no risk in archiving contacts you have not engaged with recently. Archiving can be done in bulk and typically takes under five minutes.

You can archive contacts yourself on desktop or mobile, or contact our support team and we will do it for you.

Note: Archiving requires an Admin or Member role. 

How to archive contacts on desktop

  1. Navigate to the Presence® Platform.
  2. Click Contacts from the left-hand menu.
  3. Click the checkbox next to individual contacts to select them, or click the checkbox in the table header to select all 20 contacts visible on the current page.
  4. To select contacts beyond the current page, select all contacts on the current page first — then click Select all contacts that match your current filters.
  5. Click Archive.
  6. Confirm the action.

Archived contacts move to the Archived tab and retain all their history and data. For more, see How to add contacts and perform bulk actions in AI CRM.

How to archive contacts on the Luxury Presence Mobile App

  1. Tap the Edit button (pencil icon) in the top-right corner to enter selection mode.
  2. Tap the contacts you want to archive — a checkmark appears on each selected contact.
  3. Tap Archive in the action bar at the bottom of the screen.
  4. Confirm the action.

Will anything stop working if I am over my contact limit?

When your account exceeds its contact allocation, nothing in your account is switched off. However, contacts beyond your plan's limit may not receive AI-powered features such as Lead Score, Smart Tasks, Enrichment, and Listing Alerts until the issue is resolved.

Is archiving permanent?

Archiving is not permanent. Any archived contact can be restored at any time with zero data loss. Archiving simply moves contacts out of your active allocation — all data, history, and activity remains intact.

How quickly does a contact block activate?

Contact blocks activate as soon as they are added to your account. The additional contacts immediately receive access to the full suite of AI-powered features in AI CRM.
