How do listing alert emails work?

Learn how leads receive property alerts through favoriting listings and saving searches, and how to troubleshoot delivery issues.

Overview

Listing alert emails keep your leads informed about properties that match their criteria. Alerts are triggered in two ways: when a lead favorites a listing, or when a lead or agent creates a saved search. Each method has its own delivery behavior and frequency settings.

How leads receive alerts

Favoriting a property

When a lead favorites a property in the Home Search Tool, they automatically receive instant alerts for any changes to that listing. Alerts are sent every hour on the hour and cover:

• New Listing
• Price Reduction
• Price Increase
• Back on Market
• Pending / Backup Offer
• Sold
• Withdrawn

Saving a search

When a lead saves a search, they receive updates for new and changed listings matching their criteria. Agents can also create saved searches on behalf of their clients and set the frequency at that time. The available frequency options are:

Frequency	When it sends
Instant	Every hour for any matching changes
Daily	2:30 PM PST daily (up to 1 hour delivery delay)
Weekly	Mondays at 3:30 PM PST (up to 1 hour delivery delay)
Monthly	1st of each month at 4:30 PM PST (up to 1 hour delivery delay)

Note: There is no option for custom frequencies such as "every other day." For less frequent emails, select Weekly or Monthly.

Troubleshooting listing alert delivery

If a client is not receiving listing alert emails, work through the following steps:

1. Check the saved search is active — Confirm the saved search exists and is set to the correct frequency. See How to create a saved property search from a contact profile in AI CRM for steps on reviewing and editing saved search settings.
2. Verify the contact's email address — Confirm the email address on file is accurate and active. See How to update lead alert email addresses.
3. Account for send timing — Newly created saved searches set to Daily may take up to 24 hours to send their first email. Emails are batched and sent within the scheduled window — delivery is not immediate.
4. Check spam or junk folders — Ask the client to check whether alerts are being filtered by their email provider.

FAQs

Can agents set or change the alert frequency for a client's saved search?

Can I change the alert frequency for all contacts at once?

No — there is no global setting to update email frequency for all contacts simultaneously. Frequency must be updated individually for each contact's saved search.
